How we use your information.
1. Who we are
Aplomb is the trading name of Kelby Pastor, based in London, United Kingdom. Kelby Pastor is the data controller for all personal data collected through this website and in connection with event planning services.

2. What personal data we collect
Through the website enquiry form: your name, email address, event type, approximate date, and approximate guest count, plus any information you choose to share in the free-text field.
Through direct correspondence: any personal details you share with us by email or phone in the course of discussing or planning an event.
Through the use of our services: event guest details, dietary requirements, and other information reasonably required to plan and deliver your event.
Automatically via the website: standard technical data including IP address, browser type, and pages visited (collected by Squarespace). We do not use this data to identify individuals.
3. How we use your personal data
To respond to your enquiry and assess whether we can assist with your event.
To plan, manage, and deliver the event services you have engaged us for.
To communicate with you throughout the planning process.
To issue invoices and manage payments.
To comply with legal obligations, including tax and accounting requirements.
We do not use your personal data for marketing purposes without your explicit consent. We do not sell, rent, or share your personal data with third parties for their own marketing purposes.
4. Legal basis for processing
Contract: where processing is necessary to fulfil the event planning services agreement between us.
Legitimate interests: where processing is necessary to respond to enquiries and manage our business, provided this does not override your rights.
Legal obligation: where processing is required to comply with applicable law.
Consent: for any marketing communications, where you have given explicit consent.
5. How long we keep your data
Enquiry data (where no contract is entered): retained for 12 months from the date of enquiry, then deleted.
Client data (where a contract is entered): retained for 6 years from the end of the contract, in accordance with HMRC requirements for business records.
Event guest data: retained only as long as necessary to deliver the event, then deleted within 30 days of the event date.
6. Third-party services
Squarespace (website hosting and forms): your enquiry form submissions are processed by Squarespace, Inc. Squarespace is certified under the EU-US Data Privacy Framework.
Dubsado (client management): proposals, contracts, and invoices are managed through Dubsado. Data is stored on secure servers in accordance with Dubsado's privacy policy.
Google Workspace (email): correspondence is stored via Google's secure email infrastructure.
Stripe (payment processing): payment information is processed directly by Stripe and is not stored by Aplomb.
We require all third-party processors to maintain appropriate security standards and to use your data only for the purposes for which it is shared.
7. Your rights
Under UK GDPR, you have the right to: access your personal data; correct inaccurate data; request deletion of your data (subject to legal retention requirements); restrict or object to processing; data portability; and to withdraw consent where processing is based on consent.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you believe your data has been processed unlawfully.
8. Data security
We take reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, or disclosure. All data is stored using password-protected, encrypted services.
No method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security, but we take our data protection responsibilities seriously.
9. Changes to this policy
We may update this privacy policy from time to time. The current version will always be available at aplombevents.com/privacy. Material changes will be communicated to active clients directly.
